What Bookkeeping Actually Costs Creative Businesses in 2026
Ask five firms what bookkeeping costs and you will get five invitations to a consultation. Most bookkeepers hide their prices. Here are the published 2026 numbers instead, what changes them, and what Smart Virtual Solutions charges, in public, right on this page.
Monthly bookkeeping: what the market charges
Two views of the same market, national and Boston:
What you are comparing | 2026 range | Source |
|---|---|---|
National standard retainers | $300 to $1,500/month, most common band $250 to $499 | Relay, citing the Ignition 2025 firm benchmark |
Growing businesses ($500K to $2M revenue) | $1,000 to $2,500/month | Relay |
Boston, under 50 transactions a month | $200 to $550/month | A&I Financials, a Cambridge firm with published rates |
Boston, 50 to 100 transactions | $400 to $700/month | A&I Financials |
Boston, 100 to 200 transactions | $800 to $1,400/month | A&I Financials |
Boston, 200+ transactions | $1,500 to $3,500/month | A&I Financials |
A typical creative, project-based business (an agency, studio, or photographer with one QuickBooks Online file and 50 to 150 transactions a month) lands in the $400 to $700 range in Boston.
What moves your price up or down
Transaction volume. The single biggest driver. A quiet studio and a busy agency are different jobs.
How many accounts and cards feed the file. Every extra account means more reconciling.
Contractors. Subcontractor bills need project coding and year-end 1099 prep.
Project tracking. Splitting revenue and costs by client or shoot takes more structure than one big expense list.
Backlog. Months of unreconciled history have to be cleaned up before monthly service can start.
Cleanup and catch-up: the expensive middle
Published guidance repeats one rule: a cleanup costs roughly 3 to 10 times the monthly fee, because fixing a month of history takes far longer than keeping a month clean.
Common pricing models in 2026:
Model | Range | Source |
|---|---|---|
Per month of backlog, low complexity | $150 to $300 per month | SDO CPA catch-up cost guide |
Per month of backlog, medium complexity | $300 to $600 per month | SDO CPA |
Per month of backlog, high complexity | $600 to $1,200+ per month | SDO CPA |
Six months behind, medium complexity | $1,200 to $3,600 total | SDO CPA |
Twelve months behind, medium complexity | $2,100 to $7,200 total | SDO CPA |
Boston, one-time cleanup for a year of books | $500 to $2,500 | A&I Financials |
The wide ranges are the honest part: nobody can price a cleanup without seeing the file. Anyone who quotes you instantly, without asking a single question about your transactions, is guessing.
The option almost nobody advertises: a one-time review
If you are not ready for monthly service, a review is the middle path. One-time bookkeeping reviews are so rare that there is no real market for them; the closest comparisons are quarterly review plans at $150 to $300 per quarter (Choice Bookkeeping Team) and CPA time in Boston at $100 to $250 an hour (A&I Financials).
What Smart Virtual Solutions charges (published, on purpose)
Smart Virtual Solutions prices a full review of your file at $495 flat: your QuickBooks Online file checked end to end, with a plain-English list of what is wrong, what it affects, and what to do about it.
Service | Price |
|---|---|
Monthly bookkeeping | $700/month, plus one-time setup |
Cleanup & Catch-Up | $1,500 flat for a typical single-file cleanup |
Bookkeeping Review | $495 flat |
The $1,500 cleanup is flat for a typical creative-business file: one QBO company, one or two accounts, modest volume. Quotes go above it only when the scope does: more than a year of backlog, several accounts or cards, or a file with unreconciled months and negative balances.
Why publish prices? Because the fastest way to waste your time and mine is a discovery call that ends in "it depends." If the numbers above fit your budget, email Smart Virtual Solutions. If they do not, you have your answer without a consultation.
The floor matters too: the cheapest published Boston rates ($99 to $399/month) come from AI-assisted and offshore-team models. That is a legitimate choice, but it is a different product. With Smart Virtual Solutions you get direct service from a bookkeeper with 20+ years of experience, replies to new inquiries within one business day, and files built so your tax preparer does not fight you in March.
A worked example
An agency with about 100 transactions a month and seven unreconciled months:
Monthly bookkeeping: $700/month sits at the top of the fair Boston band for that volume, with direct service included.
Cleanup first: seven months of medium-complexity backlog has a published market range of roughly $2,100 to $4,200. Smart Virtual Solutions' flat $1,500 covers the typical version of that file.
Order matters: clean first, then go monthly. Paying monthly fees on top of a messy file just pays someone to be confused.
If your books are already behind
Cleanup & Catch-Up is the service built for exactly this: what cleanup covers and what it costs. If you want a second opinion on a file that feels wrong, start with the $495 review. To talk about either, email Smart Virtual Solutions for a quote.
